When entities are organised in business units, departments or other discrete parts, it can be very practical to define organisational units in the Weagree Wizard and assign them to applicable entities. Organisational units can be used not just in the context of corporate housekeeping, but also for inserting content into contracts, keeping track of which such units are involved in any contract – or vice versa: which contracts involve such units – and predefining who may sign particular contracts.

A. CONFIGURING ORGANISATIONAL UNITS
On the Administrator page, open the Entity management item and then navigate to Organisational units.

1. To create a new organisational unit:

a. Click Insert.
b. Insert a name and a description.
c. Click Save.

Note: only the name will be visible elsewhere in the Weagree Wizard.

2. An existing organisational unit’s name and description can be edited by clicking on its name in the list.

3. The order in which the organisational units are listed can be changed by clicking the up and down arrows.

Note: the listing order is purely cosmetic, but will appear throughout the Weagree Wizard wherever a user may make a selection of organisational units. Depending on their number and composition, different arrangements (alphabetically, by importance, by common denominator, etc.) may be practical.

4. Click Delete to remove any selected organisational unit.

Once an organisational unit is created, it may be added to an entity via its corporate housekeeping overview page.

B. TEMPLATES
When an entity with one or more organisational units is added to a contract, an additional question will appear in the questionnaire, listing the available organisational units. Because of this, it’s possible to set up a template to include (or exclude) text based on the organisational units involved in a contract. For more information on using organisational units in templates, click here.

C. CONTRACTS
Any organisational units involved in a contract (depending on what entity is party to that contract and which organisational have been selected, if any) will be shown and may be changed on the Persons and teams involved page of the contract properties. This applies to both draft contracts and managed contracts. There is also a toggle on the Settings tab of the contract sheet editor that will list the organisational units on the contract’s overview page (see here).

The advanced search options on various pages of the Weagree Wizard (namely Draft or negotiateApprove contractMy signed contracts and the Contracts subtab of Search) include a filter for organisational units, making it easy to quickly locate contracts relevant to any particular organisational unit.

D. E-SIGNING SIGNATORIES
You may indicate per e-signing signatory whether that person may sign for any organisational units, or only specific ones. This setting narrows down the possible signatories for a given entity. For more information on configuring organisational units for e-signing signatories, click here.
