A project template’s main value lies in linking questions between templates. This enables passing on answers from one questionnaire to another, greatly minimising the number of questions the user will have to answer within a project. It combats redundancy and reduces room for error.
When properly set up, linking questions between contract templates can be done mostly or even entirely automatically. The Weagree Wizard can match questions in different contract templates with identical tags. Before creating a project template, or even when initially creating multiple contract templates, it is therefore recommended that you ensure the contract templates to be included share as many global questions and local questions with the same names as possible. Failing that, it is also possible and easy to manually link questions.
1. To automatically link questions:
a. Add a second (or third, fourth, fifth, etc.) contract template to the project template; the pop-up Preselect Q&A questions will appear. Alternatively, select a contract template for linking and then click on the Preselect Q&A questions icon.
b. Select one or more directionality options:
i. Q&A questions within this (sub)project: only include questions from contract templates at the same indentation level of the project template.
ii. Q&A questions from the umbrella project: only include questions from contract templates at higher indentation levels of the project template.
iii. Q&A questions from subprojects: only include questions from contract templates at lower indentation levels of the project template.
Note: contract templates’ questions will only be linked to those of contract templates in a direct line. If two subprojects exist at the same indentation level, i.e. in parallel, none of the above settings will cause their respective contract templates’ questions to be linked.
c. Select which questions to be linked.
d. Click Link automatically.
e. Check the Linked to… column for any magenta links. These indicate that two questions have been linked, but the choice options have not been fully mapped. This may happen if the question has the same tag, but the choice options aren’t identical. If you encounter any:
i. Click on the magenta link.
ii. Match the choice options in the right column to those in the left.
iii. Click Save.
Note: it is not strictly necessary to map all choice options, but this is risky as it may lead to information loss or inconsistencies within a project. If possible, amend the contract template(s) so that all options can be properly mapped.
2. To manually link questions:
a. Select a contract template for linking.
b. Click Select questions to be linked.
c. Select one or more questions from the contract template. You can use the filters to narrow down the search results.
d. Click OK.
e. If you selected a single question, the pop-up Link question “[question name]” will immediately appear. If you selected multiple questions, each will have to be separately linked. Click on a question’s link in the Linked question column.
f. In the Link question “[question name]” pop-up:
i. Select the contract template with which to create a link.
ii. Select the target question. You can use the filters to narrow down the search results.
iii. Click OK.
Note: any question can be linked to multiple other questions in multiple other contract templates.
3. To remove a link, click on the red X in the Linked to… column.
4. To delete questions from the list of links:
a. Tick their checkboxes.
b. Click Delete selected links.
