User profiles determine the full extent of what a user can see and do within the Weagree Wizard. Organising user profiles makes it easy to manage users based on their role within the organisation, delineating their precise access rights with just a couple of clicks. They encompass user groups, user roles and authorisation levels. For a general explanation of these three elements, click here. More details on user roles can be found here.

All user profiles can be managed as follows on the Administrator page under Users and licence > User profiles.

1. To create a new user profile:

a. Click Insert.
b. Insert a profile name.
c. Select at least one user group.
d. Select the required role.
e. Select the required authorisation level.
f. Click Save.

Note: a user profile’s role cannot be changed once set.

Note 2: the authorisation level should reflect the seniority of any given user in this user profile. The higher the authorisation level (Everyone being the lowest and Head of legal being the highest), the more the user will be able to see and do within the Weagree Wizard. This is dependent on the actual application of authorisation levels, however, as explained here.

2. An existing user profile’s details can be edited by clicking its name in the list.

3. Click Delete to remove any selected user profile.

Note: it is impossible to delete a user profile if it still contains any users.

4. Click Export to generate an Excel file with the details of all user profiles.

5. Users cannot only be assigned to user profiles from the Users page (see here), but also from this screen:

a. Select the user profile by clicking its name.
b. Click Insert users. A selection pop-up will appear.
c. Select the user(s) to assign to the user profile.
d. Click OK.

6. Any users assigned to a selected user profile can also easily be reassigned (moved) to another user profile:

a. Select the user profile by clicking its name.
b. Select the user(s) to reassign.
c. Click Move users. A selection pop-up will appear.
d. Select the target user profile.
