User roles are tied to the various user licences and determine users’ Weagree-wide access rights. By organising user roles you can exercise general control over access to the Weagree Wizard’s features and user-types. User groups and user profiles then allow you to fine-tune such access control and user-types.
Basic user role management takes place on the Administrator page under Users and licence > User profiles > Roles (licence-based). By default, the Weagree Wizard distinguishes a number of roles (their names indicating the applicable type of user licence):
- Lawyer (Admin): all functionalities of the Weagree Wizard are available, including full administrator rights.
- Lawyer: all functionalities of the Weagree Wizard are available, except for administrator rights.
- Business-limited user (no CLM): the CLM and certain other advanced functionalities (primarily intended for senior users) are unavailable or disabled by default.
- Business-limited user + CLM: certain other advanced functionalities (primarily intended for senior users) are unavailable or disabled by default.
- CLM-only (R+W): only functionalities directly required for using the CLM are available. There is no contract creation. Contracts in the CLM can be viewed, edited and added.
- CLM-only (RO): only functionalities directly required for using the CLM are available. There is no contract creation. It is not possible to edit or add new CLM contracts, but contracts that a user is authorised to access can be viewed.
- 2-Template tool (no CLM): the CLM and various functionalities to which Business-limited users and Lawyers would have access are unavailable or disabled by default. Only two contract templates can be used.

- 1-Template tool (no CLM): the CLM and various functionalities to which Business-limited users and Lawyers would have access are unavailable or disabled by default. Only one contract template can be used.
- 1-Template tool + CLM: various functionalities to which Business-limited users and Lawyers would have access are unavailable or disabled by default. Only one contract template can be used.
- Approver: reserved for users who only have to approve or reject contract drafts. Very limited functionality. Approver ‘licences’ are free of charge.
Depending on your organisation’s needs and preferences, it may be useful to change the names of these roles to something more specific or create new roles for further differentiation (as explained here, it is possible to completely customise each role’s access rights).
1. To change a role’s name:
a. Select the role to be renamed.
b. Insert the new name in Role name.
c. Click Save.
2. To create a new role:
a. Select the role to be used as the template (e.g. the Lawyer role if you want to create a more restricted version of that role for certain users).
b. Click Copy role.
c. Change the name of the newly created Copy of [original role name] as described above.
d. Click Save.
3. To delete a role, select it and click Delete.
Note: do not delete every role for a given licence.
4. To change any role’s actual settings, click Manage rights or select the subitem Configure roles (and access rights) in the navigation on the left.
Note: if you only want to enable or disable certain access rights for an existing role, you do not need to copy that role. That is only necessary if there should be two or more versions of the same role.
