Inserting your model contract begins with simply creating a blank contract template in the Weagree Wizard.

A. CREATING THE TEMPLATE – BASIC
New templates are created via the Contract creation section of the Administrator page. This requires completing the following steps:
1. Click the document icon. A pop-up will appear.

2. Insert the name of the new template. This name will be used on the current page and in the list of templates available to end users.
Note: the name does not need to match the actual title of the document the template will generate. Templates are ordered alphabetically, but you are free to use prefixes or alternatives like numbers, spaces or underscores to order them differently. Parentheticals may also be included, for example “(EN)” and “(DE)” to differentiate English from German templates.
3. Select a category. This is used to group templates together, for example by general subject matter or by business unit. Until the template is finished and ready for general use, the standard category Test and construction is recommended. You can assign the template to another category at any time.
4. Select one or more user groups:
a. Click the magnifier icon. A pop-up will appear.
b. Select the desired user groups.
c. Click OK.
Only users assigned to the same user group as a template will have access to that template. Until the template is finished and ready for general use, either Under construction (if available) or Testing and accepting is recommended; access to these user groups is usually very limited. For more information on user groups, see the User management section of this Knowledge base; start here.
5. Unless you would like to review the other, optional settings first (in which case: see section B below), click Save.
After clicking Save, the new template will be opened in the Template Creation Tool. What to do next is explained in the subsequent articles.

B. CREATING THE TEMPLATE – ADVANCED
If you are a more experienced user, you may also want to consider changing various optional settings in the initial template creation pop-up. Note that with the exception of Automated import, each setting can be revisited and changed at any point after contract creation. You do not need to make any final decisions here. If you are unsure what to do for any or all of these settings, you may therefore skip them.
1. Change Authorisation level to (further) restrict access to the template. By default, all users in the same user group(s) as the template will be able to see and use it. Raising the authorisation level to Contract manager or higher (with Head of legal being the highest) will exclude all users with a lower authorisation level. In most cases, the default setting is adequate. For more information on authorisation levels, see the User management section of this Knowledge base; start here.
2. Use the Add file drag-and-drop field (you can also click it to open an explorer window) if you want to provide extensive user guidance for a template or a separate document (for example an Excel sheet). End users will be able to download the file by clicking an icon next to the template’s name.
3. Brief user guidance can be entered into the Explanation field. This is appropriate for letting end users know when to use one template instead of another, for example. An information icon will appear next to the template’s name, which will show the explanation in a tooltip.
4. By default, Enable versioning is switched off. You may switch it on if you plan on preserving each template version and want to keep them filed under the same link, instead of creating a series of effectively standalone templates. For more information, click here.
Note: while versioning can also be switched on at any point after the template has been created, it cannot be switched off again. Enabling versioning does not prevent you from iterating versions in the form of standalone templates, however. ‘Accidentally’ activating versioning will therefore not present any real problems.
5. By default, Hide on new contract creation is switched off. You may switch it on if this template will exclusively be part of a ‘project’ template and should not be used to generate standalone documents. Project templates bundle multiple contract templates together for specific purposes and usually link their questionnaires as well. For more information, click here.
6. Change Dot file if the default is not appropriate for this template. A dot(x) file is a Microsoft Word template and is used to determine the overall appearance of a document generated in the Weagree Wizard. If you are unsure which you need, you can experiment during template insertion by freely switching between the available Word templates and generating test documents. For more information, click here.
7. Enable Automated import if you want to directly upload your Word document to the Weagree Wizard. It will read the document, present each paragraph in it as a building block, contract clause, definition or annex, and let you review and fine-tune everything to speed up the template outline’s creation. For more information, click here.
Note: as alluded to above, the Automated import setting is only available in this pop-up. If it is switched off when you click Save, you will not have a second chance to perform an automated import for this template (although you could delete the template and start over). Keep in mind also that during the automated import, you are building the entire template structure in a somewhat more abstract way than via the Template Creation Tool’s regular controls. Use of this functionality is recommended only for users who have manually inserted at least one template before.
