The Weagree Wizard’s contract lifecycle management (CLM) solution allows administrators to create and manage contract sheets for either generic purposes or specific types of contract. These contract sheets determine what data a user may enter into the CLM, or what data are automatically entered if a contract made in Weagree is transferred to the CLM. This article will help you get started with Weagree’s CLM by showing how to enable this functionality and manage contract sheets, and by providing a quick overview of the available CLM tooling.

A. ENABLING THE CLM

If the CLM is enabled on your portal, the My signed contracts tab will be visible on the Weagree Wizard’s navigation bar for authorised users (ordinarily, this is always the case for administrators). If this is not the case, go to the Administrator page and open the Configuration Weagree Wizard.

1. Switch CLM (contract lifecycle) to the ON position to enable contract lifecycle management.

Note: this activates the CLM on your portal, but whether any given user will be able to access it depends on their specific licence and user rights. For more information, consult the tutorials on user management and see the CLM (contract lifecycle management) section on Users and licence > User profiles > Configure roles (and access rights) on the Administrator page.

2. Enable Migration service if you have an existing set of contract data you wish to import in bulk (see also section F below). For more information on the migration service, click here.

3. Click Save.

B. GENERAL SETTINGS

A few general CLM settings are available under the Configuration subitem of CLM (contract lifecycle management).

1. File storage
If any external storage solution is available, such as SharePoint, you may choose between Weagree and said medium for storing all files in the CLM’s contracts. External storage solutions are set up under the API integrations subitem of Configuration Weagree Wizard. For more information, see the API integrations section of this knowledge base.

2. Enable currency indicator
When enabled, contract sheets can (and will by default) include a field indicating the currency applicable to the contract. There is an override to disable this field per contract sheet, however.

3. Default currency
When the currency field is enabled, this will be the currency selected by default for all contract sheets. There is an override to change this per contract sheet (available to the administrator, in the contract sheet settings), as well as per individual contract (available to the end-user, in the actual managed contract), however.

C. CLM CONTRACT SHEETS

The CLM contract sheets item on the Administrator page displays all available contract sheets (if any), plus the number of managed contracts for which they are currently used. Here, you can create a new or open an existing contract sheet:

1. Click the blank page icon to create a new contract sheet.

2. Click the pen icon next to a contract sheet’s name to edit it.

3. Alternatively, click Creation tool to open the CLM contract sheet creation tool. From there, you can either choose to edit an existing contract sheet (by clicking on the pen icon) or create a new one (by clicking New).

The contract sheet creation tool lets you create a contract sheet outline consisting of CLM building blocks, in very much the same manner as a contract-automation template outline. You may then add contract fields (for inserting the relevant contract data) to these CLM building blocks, which is very similar to creating questions in a contract-automation template. These fields can even be automatically generated by linking your contract sheet to a contract-automation template. The contract sheet creation tool also allows for the creation of default notification triggers and the setting up your contract risk assessment parameters.

D. CONTRACT FIELDS

Contract fields are ‘global’ components, meaning that they are not stored in the contract sheets themselves and that any field can therefore be used in multiple sheets. While contract fields can be created and edited directly in the contract sheet creation tool, the Administrator page lets you centrally manage them under Global lists and items > Contract fields.

E. RISK TYPES

Under Risk types you can define different risks for your organisation. These can then be assigned to contract fields, to indicate what risks are associated with certain contract details, supplementing the general risk assessment criteria for such parameters.

F. NOTIFICATIONS

The Notifications item is where you can create and manage the various notifications you may need for your CLM. As an administrator, you can choose between whichever notifications are available when configuring default notification triggers. End-users may be authorised add custom notification triggers to individual contracts they’re managing, in which case they may freely choose from this selection as well. It’s possible to add translations, which will automatically be used if you switch your portal’s user-interface to a different language like Spanish or German.

G. MIGRATION SERVICE

Migration service is used to import Excel sheets containing your contract data, either assembled yourself or exported from a third-party CLM solution. This allows for a quick and easy automated transfer of contract details and documents into the Weagree Wizard’s CLM, together with all related CRM data. After a successful import, all relevant data from the source sheets or CLM solution will be available in Weagree.
